Terms of Service
Cognitive Cards, a Cognitive Media service · Last updated September 2, 2026
1. What Cognitive Cards is
Cognitive Cards gives you a business card — digital, wallet pass, and optionally printed — whose QR code opens your AI twin. The twin is a face, a voice and a briefing you set up. When someone scans your card, the twin talks to them, can take their details, and on the plans that include it can book a time on your calendar. Those leads land on your Leads page here.
You use Cognitive Cards through your CognitiveMedia account, which is the same account you use at cognitivemedia.ai. These terms cover the Cognitive Cards service; using the service means you agree to them.
2. Your account
You need to be able to enter a contract to open an account, and Cognitive Cards is a business product — it isn't for anyone under 18. Keep your password to yourself; what happens under your account is yours. One plan per CognitiveMedia account.
3. Plans and billing
Free costs nothing. Paid plans are monthly subscriptions. You see the price before you pay, and the plan renews automatically every month at that price, charged to your card on file, until you cancel. Taxes may be added where they apply.
Payments are handled by Stripe. We never see or store your full card number — Stripe does. If a charge fails, your plan may pause until it goes through.
If we change the price of a plan you're on, we'll tell you by email before the change takes effect, and you can cancel before it does.
4. Cancelling
Cancel yourself, any time — open Your plan and click Manage billing. That opens the Stripe billing portal, where you can cancel, change your card, or read your invoices. No email to us, no phone call.
Cancelling takes effect at the end of the period you've already paid for. Your plan keeps working until then; after that your account drops to Free. Your card doesn't disappear — it stays live with your contact details, and your existing leads stay on your Leads page.
5. Refunds
Cancel and you're not billed again — that's the fastest fix, and it's in your own hands (see above). The plan runs to the end of the period you've already paid for.
If something has gone wrong with a charge — billed twice, billed after you cancelled, charged for something you never got — email hello@cognitivemedia.ai and tell us what happened. A person reads it, and we'll put right anything that's our mistake.
Printed cards are their own thing — see below. Any refund goes back to the card that paid, through Stripe.
6. Talk minutes
Every plan includes an amount of talk time — the minutes your twin actually spends talking to people. Minutes reset at the start of each month, on every plan, Free included. They do not roll over: unused minutes don't carry into the next month, and they have no cash value.
When the minutes for a month run out, the twin stops talking and the card still shows your contact details. It never dead-ends. You can upgrade at any time.
7. Printed cards
Printed cards are an add-on. Some plans include a print run; beyond that, printing is bought per order, at the price shown before you pay, and printed and shipped by our print partner. We ship printed cards to addresses in the United States.
A print order can't be changed or refunded once it goes to print — it's made for you, with your name and your face on it. Check the proof before you order. If cards arrive damaged, misprinted, or don't arrive at all, email us and we'll reprint or refund that order.
Delivery estimates are estimates. Once a package is with the carrier, its timing is out of our hands.
8. Your face, your voice, your words
You can build a twin from a photo of your face and a recording of your voice. Only upload a face and a voice you have the right to use — your own, or someone who has agreed in writing. No public figures, no celebrities, no one who hasn't said yes.
You keep ownership of what you upload. You give us permission to process and host it for the one purpose of running your twin, for as long as your account is open. Delete the twin, or ask us to delete your account, and it goes. What that means for your data is in our Privacy Policy.
9. Acceptable use
Don't impersonate anyone — not a person, not a company, not us. Don't use a twin to mislead people about who they're talking to, to sell anything illegal, to harass, or to collect information you have no business collecting.
You are responsible for what your twin says. It speaks from the briefing you write, in your name, to your customers. AI gets things wrong sometimes — don't brief it to make promises, quote prices or give professional advice you wouldn't stand behind yourself, and check the leads it sends you.
You're also responsible for the people your twin talks to: tell them what you collect, honor their requests, and follow the marketing and privacy rules that apply where you do business.
We can suspend or close an account that breaks these rules, or that puts the service or other customers at risk. Where we reasonably can, we'll tell you first.
10. The service can change
We build on this product constantly. We may add, change or retire features. If a change materially reduces what your plan does, we'll give you notice by email before it lands, and you can cancel.
We may also update these terms. The date at the top says when they last changed, and we'll email you about anything material before it takes effect. Carrying on using the service after that means the new terms apply.
11. The legal part
The service is provided as it is. We work hard to keep it up, but we don't promise it will never be interrupted, and we don't promise a twin will always say the right thing. To the extent the law allows, Cognitive Media isn't liable for indirect or consequential losses, and our total liability for any claim is limited to what you paid us in the twelve months before it arose.
Nothing here takes away a right you have under consumer law that can't be signed away.
12. Contact
Questions about these terms, a charge, or an order — write to us. See our Contact page, or email hello@cognitivemedia.ai.
